Harvester AI Payroll Reporting lets an authorised user ask a connected AI assistant questions about their company's recorded payroll. It is an optional, individually licensed, read-only reporting feature for Harvester Payroll Online Zambia. WHAT CAN I ASK ABOUT? Use the connection to review monthly gross and net pay, PAYE, separate employee and employer NAPSA and NHIMA amounts, employees, current departments and custom payroll extras. Available reports also include retained accumulated totals, recorded gratuity and terminal benefit movements, historical payroll and draft accounting journals. Loan transactions require an additional permission. The full-summary reporting option provides earnings and individual deduction amounts, company custom labels and reconciliation information. It follows the payroll calculation basis used by the Paycode Journal; it is not a replacement for every personal-detail column in the Full Summary Excel workbook. The AI can explain and present the returned figures, compare available periods, and help identify items to review. Always name the year, month, period and department you intend to use. The connected company determines which payroll is accessible; typing another company's name does not switch access. HOW DOES THE CONNECTION WORK? A compatible AI assistant uses Harvester's authorised reporting API through its connector. You sign in and approve access through Harvester. Payroll results requested through the connection may be sent to your chosen AI provider, including employee names and payroll amounts. Use an organisation-approved AI account and its appropriate privacy settings. Harvester's AI Reporting page provides connection guidance for ChatGPT and Claude. Availability depends on the provider's supported plans and connector features. The Harvester licence is separate from the AI provider's subscription. WHAT CAN IT NOT DO? The connection cannot change salaries, edit employees, process payroll, make payments, submit statutory returns or post journals to an accounting system. A useful draft or explanation still needs review against the underlying payroll report. HISTORICAL DATA AND COMPLETENESS Missing months mean unavailable records, not zero payroll. Compressed historical archives may combine several years and must not be presented as complete annual gross or net payroll. Department assignments, payment classes and custom labels reflect current settings rather than guaranteed historical snapshots. Ask for every results page when requesting a full employee list. Whole-result totals must be counted once, not added again for each page. The newer summary and journal responses identify scope, report/calculation versions, coverage and reconciliation. Available rows do not prove that payroll processing for every expected period is complete. Recorded gratuity, terminal benefit and leave movements are not certified outstanding liabilities. Payroll contribution figures are not proof of payment to ZRA, NAPSA or NHIMA. DRAFT PAYROLL JOURNALS AI journal reporting separates employee deductions, employer contribution expenses/payables, net pay and rounding that matches the current company rule. Unexplained differences remain visible. A balanced journal is not automatically ready for import: the accountant must approve account codes, allocations and the target template. WHO CAN USE IT? The current AI connection requires an enabled, unexpired individual AI Reporting licence and an eligible level-5 Harvester account. Loan reporting is separately controlled.
