Harvester Payroll Online Zambia

Understand your payroll.
Prepare your accounting journal.

Explore the reports behind your payroll, ask read-only AI questions and prepare accounting exports from the Paycode Journal. This public guide shows the workflow with fictional figures; your company's actual reports remain inside Harvester.

Start with a complete payroll selection

Full Summary for Excel

Keep a detailed payroll export with one row per employee, including earnings, deductions and custom extras. The Full Summary Simple layout is comprehensive: “Simple” describes the row layout, not a reduced set of payroll fields.

Monthly and annual Excel summary help

Paycode Journal

Review the full selection totals, individual deductions, employer contributions, net pay and rounding. Employee detail supports your review; the accounting journal summarises the entries to post.

Read the full Paycode Journal guide

Choose the company, year, month, exact period or all periods, and department before comparing reports. Whole-selection totals cover the selected records, not just one screen page. Permissions and filters can change which employees are included.

A payroll journal you can review

This fictional example shows the structure of a journal. It does not represent statutory rates or an actual company's payroll.

Example payroll journal with separate employer contributions

Gross wages expense10,000.000.00
Employer NAPSA expense500.000.00

Net wages payable0.008,202.00

Gross once, deductions separately

Basic pay and earnings components help explain gross wages. Do not post them again on top of gross. Employee deductions are listed individually; employer NAPSA and NHIMA have separate expense and payable entries.

Your own custom names

Company labels for Other Addition, the department-rate itemised addition, Other Deduction and Other Deduction 2 appear alongside the configured custom addition and deduction names.

Explain rounding, investigate differences

For K5 rounding, a nonnegative unrounded net of K1,232.20 becomes K1,235.00: K2.80 rounding. The report checks each payroll record using the current company increment and leaves unexplained differences visible.

Confirm the increment used for historical payroll. A zero overall difference does not cancel individual discrepancies.

Class M is Harvester's restricted payment class, not a universal definition of management. Department assignments and custom labels reflect current settings. The accountant decides which ledger accounts each entry belongs to.

From a reviewed journal to an accounting file

Choose an export, replace suggested account labels with approved accounts and check the destination's current import template. A balanced file still needs correct accounts and allocations.

These are file exports, not direct integrations or automatic posting. Sage Accounting, Sage Pastel and Sage 200 Evolution use different workflows; do not assume one file fits every Sage product.

The Xero tax-rate setting describes accounting tax treatment, not PAYE. Harvester permits a blank field during file preparation, but required tax settings must be resolved for the target import.

Ask questions using read-only AI reporting

Harvester's optional, individually licensed AI Reporting connection lets authorised users ask a compatible assistant about recorded monthly payroll, employees, departments, custom extras, historical records, accumulated totals and draft journals. Harvester provides connection guidance for ChatGPT and Claude; supported plans and connector options depend on the provider.

Start with the right company

Connect through Harvester's authorisation process and ask the assistant to confirm the company, read-only status and API version. Access belongs to the authorised account; typing another company name does not switch payrolls.

Setup, permissions and disconnection

Know what is shared

Requested report data, including employee names and payroll amounts, may be sent to the chosen AI provider. Use an organisation-approved account. The connection cannot change salaries, process payroll, pay employees or post accounting journals.

AI capabilities and limitations

Ask for all result pages and count whole-result totals once. Missing months are unavailable, not zero. Historical archives can span years; recorded accrual movements are not certified liabilities, and recorded contributions do not prove remittance.

Questions to try with your connected payroll

Replace the period and department with your own selection. Available tools and permissions determine which questions the connection can answer.

“Show gross pay, net pay, PAYE and separate employee and employer NAPSA and NHIMA for October 2026. State which periods are included.”

“Prepare the draft payroll journal for October 2026, all periods, grouped by department where supported. Fetch every page and explain rounding, unresolved differences and account-mapping requirements.”

“Which ordinary payroll months are available for 2026? Keep compressed archives separate and do not treat missing months as zero.”

AI Reporting requires separate individual enablement and licensing; a payroll trial does not automatically grant AI access.
